1. About ScoutForge
ScoutForge is an independent software service designed to support Scout groups and trustee boards with governance record-keeping and evidence organisation.
ScoutForge is not operated by, affiliated with, or endorsed by The Scout Association.
2. Who Can Use ScoutForge
ScoutForge is intended for use by:
- Scout Group trustee boards
- District and County trustee boards
- Volunteers authorised by those boards
By using ScoutForge, you confirm that you are authorised to act on behalf of the group or organisation whose data you enter.
3. What ScoutForge Does (and Does Not Do)
ScoutForge does:
- Provide tools to record meetings, decisions, acknowledgements, risks, and incidents
- Allow groups to organise and export governance records
- Generate evidence summaries based on data entered by users
ScoutForge does not:
- Provide legal, safeguarding, or governance advice
- Certify or guarantee compliance with any rules, policies, or laws
- Replace central Scouting systems
- Act as an official record of The Scout Association
- Accept responsibility for trustee decisions or actions
Trustees remain solely responsible for understanding and fulfilling their legal and organisational duties.
4. Evidence Packs
- Are summaries of information entered by users
- Are provided as supporting documentation only
- Do not constitute certification, approval, or endorsement
ScoutForge makes no representation that an Evidence Pack proves compliance, safety, or adequacy of governance.
5. User Responsibilities
By using ScoutForge, you agree to:
- Enter information that is accurate to the best of your knowledge
- Use the service responsibly and lawfully
- Avoid entering unnecessary sensitive personal data
- Avoid entering safeguarding case details or information about young people
You are responsible for ensuring that your use of ScoutForge complies with your organisation’s policies and applicable law.
6. Accounts and Access
Access to ScoutForge is controlled through user accounts and role-based permissions.
You are responsible for:
- Maintaining the confidentiality of your login details
- Managing who has access to your group’s data
- Removing access when it is no longer appropriate
7. Fees and Payment
ScoutForge is provided on a subscription basis.
Current pricing:
- £10 per group per year introductory offer (current launch pricing)
- £25 per group per year standard pricing
Pricing may change in future, but existing subscribers will be informed in advance.
8. Suspension or Termination
ScoutForge reserves the right to suspend or terminate access where:
- These Terms are breached
- The service is misused
- Continued use poses legal or operational risk
Where possible, reasonable notice will be given.
9. Availability and Changes
ScoutForge is provided on an “as available” basis.
Features may evolve over time as the product develops. ScoutForge does not guarantee uninterrupted availability.
10. Limitation of Liability
To the fullest extent permitted by law:
- ScoutForge accepts no liability for decisions made by users
- ScoutForge is not liable for loss arising from reliance on information entered into the system
- ScoutForge is not liable for indirect or consequential loss
Nothing in these Terms limits liability where it cannot legally be limited.
